HR Specialist/Executive Assistant


The HR Specialist / Executive Assistant has a central role in company success. Responsibilities include providing HR, payroll, business development, and other administrative support to the CEO and executive team of a small social research and analysis firm.



Human Resources/Payroll Specialist

  • Prepares semi-monthly payroll and submits to administrator for approval and processing; provides appropriate reporting to the Directors on hours worked.
  • Reviews incoming resumes for qualifications of the job being advertised, arranges the interviews, and prepares the interview packages; follows up with references, coordinates background investigations/clearance submissions.
  • Responsible for all the new hire paperwork, including benefits enrollment and new hire reporting. Ensures that all mandatory forms are completed, performs onboarding tasks, including orientations, for new employees, and ensures all required new hire and periodic training is completed and records of such are maintained.
  • Processes and administers employee benefits.
  • Maintains/updates company policies and procedures and Employee Handbook.
  • Ensures timely processing of employee performance reviews.
  • Maintains all employment records.


Executive Assistant

  • Assists the CEO with various administrative activities including logistics/meeting coordination, formatting/editing of reports, presentations, and proposals, and follow up on tasks, as needed.
  • Supports EVP/Chief Growth Officer in maintaining client/prospect database, monitors email alerts for opportunities of interest, and creating Sharepoint folders for proposal opportunities; follows up with periodic communications as directed.
  • Monitors corporate filings and business entity certifications (MBE & DBE) for expiration or renewals and follows up as directed.
  • Maintains files for contracts, service agreements, task orders, vendors, and client information.
  • Sets up new jobs, Sharepoint project folders, and job numbers in iSolved timekeeping system; manages Sharepoint access controls.
  • Maintains the company calendar, birthday celebrations, and information dissemination to the staff.
  • Maintains supplies and service contracts, such as telephone services, benefits information, office supplies, and sources for transcribers, interviewers, focus group facilities, etc.
  • Coordinates IT tickets and software licenses with the IT support vendors and other providers.
  • Maintains business resilience/continuity plan.
  • Performs other duties, as assigned.



  • Three years of experience in HR, payroll processing, and time and attendance. Knowledge of principles of HR administration and management principles and practices, a basic knowledge of federal, state and county laws, regulations and ordinances pertaining to human resources are required.
  • Strong interpersonal, customer service and communications skills in person, in writing and over the telephone.
  • Proactive self-starter… Quick to demonstrate initiative, think through, troubleshoot situations; resourceful and able to manage priorities and deadlines.
  • Excellent skills in writing and editing, document formatting, attention to detail, accuracy, and follow through.
  • Strong skills in Microsoft Office, including Word, Excel, PowerPoint, Outlook; Sharepoint and Salesforce experience preferred.
  • Three years’ experience in an office environment. Knowledge of general office software and operations.
  • A bachelor’s degree in business, human resources, or related field is a plus.
  • Unquestionable ability to manage and maintain sensitive and confidential information, including employee records. Ability to obtain and maintain a public trust security clearance required.
